Registration & Company Teams

Can I register as an individual participant without a Company Team?

Yes. We encouage people who are Self Employed or Freelancers as well as organisations of all sizes.

What are the payment options for team entries?

Companies may choose "Participant Payment" (each employee pays after waiver acceptance) or "Company Payment" (the company pays for all employees registered).

Team Coordinator / Admin

Are Team Coordinators automatically registered to participate?

No, Team Captains must also register as participants and accept the waiver.

Can Team Coordinators register all company participants?

No, each participant must register themselves and accept the waiver personally.

What are the responsibilities of the Team Coordinators?

Team Coordinators organise their team, handle communications, registration, collect and distribute event materials (including bibs), and manage company payment / logistics.

Does the Team Captain need to be present at the event?

Presence is not required, but a co-captain is recommended. All team members must be aware of event rules.

Can we change the Team Coordinators?

Yes, please contact Customer Service.

Can I create multiple Company Teams for one event?

No; only one team per company. 

How are event packs (with participant bib numbers) delivered?

All Company Team Event Packs are sent via tracked first-class mail to the Coordinator. Should the Team enter after 12th May - packs will be collected from the Event Info Desk at the Venue on Event Day.

Event Participation & Conduct

What if I cannot attend?

You don't need to do anything.  All entries are non-refundable however.

Are participants with disabilities welcome?

Yes! Most support needs can be accommodated - contact us before registering so we can help.

Can walkers participate?

Absolutely; walkers, joggers, and runners of all fitness levels are welcome. 

Are dogs allowed?

Yes - but only in the 2km walk, not the 5.5km run.  For safety reasons.  Service dogs are welcomes in both distances.

Can non-participating colleagues attend?

Yes, but only registered bib-wearers ca be on course during the event. 

Can I ride my bike to the event?

Yes; use local infrastructure at your own risk as event bike racking is limited.

Medical condition or allergy?

Record key info on the back of your bib and notify your captain. Medical teams are on site to help. 

Is there a minimum age?

Participants must be 16 years old.

Code of conduct:

All attendees must show respect and inclusivity. Harassment, discrimination, or anti-social behaviour may result in removal. 

Accessibility & Adjustments

How do I request event adjustments?

Contact us before registering to discuss accessibility or practical support (e.g, guides, start arrangements).

Wheelchair users and assisted participants?

Where conditions and safety allow, yes - please contact us in advance.

Health, Safety & Emergencies

Your responsibilities:

Follow all staff and marshal instructions for safety. No headphones that prevent hearing instructions. 

Medical support:

Professional medical teams are on site. If unwell, stop and seek help from event staff. 

Weather or course changes: 

add remove

Organisers reserve the right to change routes, schedules, or cancel for safety reasons (inc. extreme weather or public safety). Updates will be made to captains and teams ASAP. 

If you cannot finish:

Alert a marshal, they'll get you back safely. There is no penalty for stopping. 

Transfers, Cancellations & Refunds

Entry transfers:

Unauthorised entry transfer is prohibited and causes disqualification. Written requests may be considered by the organiser only. 

If the event is cancelled / postponed:

We will communicate options if the event cannot proceed due to force majeure. This may include new dates or virtual options. 

Data & Imagery

Data use:

Registration data is used for event operations, health & safety, and essential communications (never for sale to 3rd parties). For further details see our Privacy Policy. 

Photography / Video:

Official event photos / video may be taken. By attending you consent to images being used for event reporting and promotion. If you wish to opt out, contact the team prior to race day. 

On-the-Day Practicalities

Bag storage:

Yes.  We have a bag storage marquee under cover.  Alternatively, you might want to leave bags with a non-participating colleague.

Can I use headphones?

We recommend bone-conduction or "one ear free" to ensure you can hear important announcements and marshals. 

Company Wellbeing & Charity Links

Charity and Wellbeing Initiatives:

The official charity of the GM Wellbeing Series is Mustard Tree, although we are also supporting numerous other community groups and charites.

Additionally, teams may use the event to fundraise for their own causes or support internal wellbeing. 

Does this count as working time?

Check with your employers; event organisers cannot advise on HR matters.
